PROJECT PLANNING
Turn ambition into an actionable plan.
Connect operating problems with business decisions and delivery requirements. Organize the information needed for internal approval, vendor comparison and a first conversation.
Explore the review ↓01 / Define the workflow to change
An ambition to adopt AI does not define the data or deliverables. Describe who will change which task or decision, and when. Include systems that must remain and operating periods that constrain delivery.
- Teams, users and the workflow from start to finish
- Current burdens such as duplicate entry, waiting and reporting
- The decision to improve and operating constraints to preserve
02 / Establish a baseline and evaluation criteria
Define expected value in terms that can be compared with the current process. Record reviewer effort, error types and exceptions as well as task duration. If no baseline exists, plan how to collect it.
- Comparable periods, workloads and user groups
- Unacceptable failures and conditions requiring human review
- Owners who review the evidence and decide the next stage
03 / Inventory data and integrations
Confirm location, ownership and permitted use before focusing on data volume. A sample does not establish ongoing production access. Distinguish available APIs, CSV exports and manual extraction.
- Formats, refresh frequency, missing values and duplicates
- Permissions, sharing arrangements and sensitive information
- Sources of truth, integration owners and availability constraints
04 / Choose a meaningful delivery boundary
Choose a team, document set or transaction type that exposes both value and constraints. Small scope is useful only when it tests what matters. Keep essential access rules and exceptions in view.
- Initial scope and explicit exclusions
- Integration and operating differences between prototype and production
- Evidence needed to proceed, retest or stop
05 / Compare cost, staffing and responsibilities
Compare the work included, not only the total. Responsibility for data preparation and acceptance, third-party fees and support boundaries all affect budget and internal effort.
- Deliverables, owners and acceptance criteria by stage
- Delivery, third-party usage and recurring operating costs
- Change control, schedule adjustments and handover
06 / Prepare a one-page brief
A complete specification is not required for the first discussion. Describe the workflow, desired change, available information, timing and stakeholders. Mark unknowns as open questions to investigate.
- The target workflow and up to three concrete problems
- Potential data sources and existing systems
- Timing, budget status and decision-making teams
